The starting point
The phone rings again and again with the same question: "What’s happening with my case?".
The answer is almost always "It’s still being processed," because the timeline is set by the government. Even so, every call interrupts whatever the team was working on.
And the WhatsApp message that arrives Saturday night goes unanswered until Monday.
What we’d do
- A WhatsApp that replies instantly with the case status, including at night and on weekends. If the client wants to talk to someone, it forwards the message to the person handling their case.
- A case file dashboard where your team updates the status with one click. If your management software allows it, the status is pulled from there.
- An automatic notification to the client every time their case changes, including what they need to do.
A Saturday at 21:40
Choose a procedure, ask a question as the client, and change the status as the firm. Three steps.
Choose a procedure
- Ask a question as the client
- Change the status as the firm
- The client receives the notification
Gestoría and immigration office
After hours, Saturday 21:40
- The office: Automatic notification:
Hi, Yamila. Today we submitted your social roots application to the Immigration Office. We’ll notify you here every time it changes.
- You:
Great, thank you so much

How it connects
WhatsApp reads the status from the firm's dashboard, or from your management software if it supports it.
No one copies the status by hand in two places. If you already use software, we check whether it lets us read the status before giving you a quote.
What would change
This is what we’d aim for, not a measured result:
- Your client knows where their case stands without calling, even on weekends.
- They get every update on WhatsApp, along with what they need to do.
- Your team changes the status once and doesn't repeat it on the phone.
The timeline doesn't change: the authorities set it.
What it would cost
