How much does custom software cost in 2026?

Custom software costs from €9,000 + VAT with us. That's the starting price for a tool that solves one specific task: a few screens, your data inside it, and a connection to what you already use. From there, the price goes up with each screen, each program that needs to be connected, and each user type. We give you a fixed price before getting started.

If you’re looking for one fixed number, there isn’t one: a program for technicians to fill out service reports on their phones and an ERP with inventory, purchasing, and invoices are nothing alike. What we can give you is the starting price for each type of project and what makes it change.

Starting prices by project type

These are our “starting at” prices, excluding VAT, for the smallest scope that makes sense in each case:

ProjectStarting atWhat it’s for
AI automation€2,500Eliminating a repetitive task: reading emails, filling out forms, moving data
Online store€3,500Selling your products online
Custom software€9,000A tool for a task that currently takes up your entire day
Custom CRM€9,000Customers, opportunities, and quotes in one place
Mobile app€15,000An app published in the app stores under your name
Custom ERP€20,000Connected inventory, purchasing, sales, and invoices

Maintenance is separate in all cases, and there's no per-user fee. If you need a CRM, you'll find the details in how much custom CRM software costs. The prices for all our services are on the pricing page.

What drives up the price of custom software

Starting from the same point, two projects can end up with very different quotes. These are the most common reasons:

  • More screens. Each screen requires design, programming, and testing. A program with five screens costs less than one with twenty.
  • More user types. If the office, technicians, and customers all access the same program, each one needs their own permissions and views.
  • Connections. Connecting to a program with an API is faster than connecting to an older one that doesn’t have one.
  • Business rules. Price calculations, shifts, commissions, or deadlines that depend on several conditions.
  • Data that needs to be transferred. The more disorganized it is, the more work it takes to clean it up.
  • Documents generated automatically: service reports, quotes, reports, or invoices in your format.
  • Mobile or offline use, for teams that work in the field.

The number of people who use it doesn’t increase the price. There’s no per-user fee.

Why two quotes can be so different

If you ask three providers for a price for the same software, it’s normal to get three very different figures. Almost always, it’s because they aren’t quoting for the same thing.

The differences usually come down to four areas:

  • Scope. One counts ten screens and another counts five because they understood the project differently.
  • How billing works. A fixed price includes the risk that something takes longer than expected. An hourly rate leaves that risk with you.
  • What’s left out. Data migration, training, screen design, or testing may or may not be included.
  • Maintenance. Some include it for a few months, others charge for it from day one, and others don’t mention it.

To compare quotes properly, ask everyone to separate these four areas. And be wary of the cheapest option if it doesn’t explain what’s left out.

What’s included and what isn’t

Our quotes for custom software, CRMs, and ERPs include an analysis of how you work, screen design, development in stages, migration of your data, and team training.

Maintenance is quoted separately, including backups, updates, fixes, and small changes. Hosting is also separate if you have to pay a third party for it. Always ask for these items to be listed separately, no matter who the provider is. A cheap quote that leaves out migration or training ends up costing more.

The cost of not doing it

The useful comparison is against what you already pay, or what you would pay to solve the problem with off-the-shelf software.

Many management programs charge per user, per month. Odoo, for example, publishes its plans with a per-user, per-month price. Tools that connect different programs, such as Zapier, charge based on usage: its free plan includes 100 tasks per month, and the paid plans increase based on the number of tasks you run. None of that is bad, but it adds up.

Do this calculation before asking for a quote:

  1. Write down what you pay each year in subscriptions related to the task you want to solve.
  2. Calculate how many hours are spent each week copying data from one place to another, and put a price on those hours.
  3. Consider how much all of this would increase as the team grows.

If the result is small, stick with what you have. If it’s significant and keeps growing, custom software will usually pay for itself.

Starting with a first version

You don’t have to build everything at once. The safest way to start is with a first version that includes the minimum needed to solve the main problem. In the industry, this is called an MVP, or minimum viable product.

A first version serves three purposes:

  • See whether the team actually uses it before investing more.
  • Make sure the provider delivers what they promised, within the timeline they gave you.
  • Decide what to do next based on data rather than assumptions.

That’s how we work anyway: we build it in stages, and you test it as we go. The timeline for each stage is included in writing in the quote.

If you're deciding between building something custom or sticking with an off-the-shelf program, we explain it in the custom software guide for small businesses.

How to request a useful quote

The clearer the project brief, the more accurate the price will be. Before requesting a quote, prepare:

  • The task you want to solve, in one sentence.
  • Who handles it today, which tool they use, and how long it takes.
  • The software it needs to connect with.
  • Who will use it and from where.
  • What needs to happen for you to say it works.

And ask any provider the same thing: is the price fixed or hourly, what's included, how much does maintenance cost each month, what's the timeline, and how do you get your data back if you ever switch? With us, you get the fixed price before you get started, and the data is yours.

On the custom software page, you'll find what's included and how we work. We respond Monday through Friday, from 9:00 to 19:00, in less than 2 hours.

Registrations come in through the website, payments are recorded in an Excel file, and receipts are created by hand.

The student registers on the website and is enrolled in their group and schedule. Every month, receipts are generated and each student's payment status is marked. Management can see the available spots in each group on a dashboard.
